    • Journals Abbreviations

Due to an article preparations one has to use a journal abbreviation. The following link provides with the list of the full journal title, the journal abbreviation and CODEN (some packages require CODEN instead of the journal title).

There is a script, which converts the bibtex databases with full Journal names to the short ones:

File bibtex_oneline changes bibtex file: removes newlines inside the fields.

In that folder there is a file make_abbr, which GENERATES the script using the downloaded from the internet journal database (coden.html)

LaTeX document classes define several typographic operations that need ‘canned text’ (text not supplied by the user). For example, the special section produced by the \tableofcontents command is always called \contentsname (or rather, what \contentsname is defined to mean). Changing the canned text is now one of the easiest customisations a user can do to LaTeX.
The canned text macros are all of the form \<thingname>, and changing them is simplicity itself. Put:
  • \renewcommand{\<thingname>}{Res minor}
in the preamble of your document, and the job is done.

IMPORTANT!!! References in Word must be avoided. All the documents must be edited with Latex. But, if in extreme case, you still want to use MS Word with references: Zotero should be the reference editor.

MIND!!! All references must be edited only by one person!!! Do not even try to synchronize the bibliographies with other users, as this might lead to complete messing up the references!
One user edits Zotero references: others incorporate references right inside the text!!!

  • References in Word with Zotero

Zotero is a free database reference manager It is a plugin to Firefox and DOES NOT require administrative rights to install it. Works for any Firefox installation (on Windows, Linux ...).

It also provides a plugin to MS Word (2003, 2007). And can be used to automatically generate references order and bibliography in a scientific document with specified style (Science, Nature, ACS ...), see Zotero Styles Repository for all available Journals.

If Zotero Word plugin causes error during starting of the Word, so that Word can be opened only in safe mode. Then probably you have no Zotero toolbar in the Word available. To make it present: click Tools -> Templates and add-ons -> add-ons -> tick: Now it should be available. (The same way the MatType can be activated).

Despite it looks like much of informations, most of the instructions are very intuitive. The Zotero references will save ENORMOUS time. Tested.

Tex2Word with proper references:

  1. create dvi file
  2. convert dvi to pdf (usage: dvipdf name.dvi name.pdf)
  3. convert pdf to rtf (e.g. with web-site
  4. open the rtf file with Microsoft Office Word and save as doc file
  5. make the following corrections:
  • replace formulas (one may use corresponding formulas from doc file obtained by the latex2word converter implemented in windows 7)
  • polish text (e.g. "ap-ple" => "apple")

BibTex usage

Since a while we have a colleague here sitting in Leipzig who is updating a large directory with
all literature that is used in the group (pdf version of the paper +
complete bibtex entry). As far as I know he is using JabRef for this
purpose. The advantage is that you do not need to have accsess to any
university or institute network if you want to access a paper you read
somewhat earlier.

The mail address can be asked by any colleague.

The whole database is currently copied to our joint group server in Strathclyde:
What we are doing right now is the following:

1. We copy the whole folder to our home directory using version control
(to copy only changes):
rsync -tvr <yourID> <yourPath>

2. The bibfile in the main directory "bibtexfilegeneral_linux.bib" has

a "file" entry for every paper, e.g.
file = {:/usr/people/saburdja/Main/Bibliography/Literature/Miscellanious/Jan162009/dynamicssimulationofwater.pdf:PDF},
you would need to change this to account for your path, afterwards you can use JabRef
